PRACTICE TOOL IN DEVELOPMENT

Spend less time managing calendars.

Calendar Sync for therapists is being built for clinicians who manage availability across Google Calendar, EHRs, referral platforms, and other scheduling systems. The goal is to mirror busy time without copying appointment names, clinical notes, or other appointment details.

Google Calendar first. One-way busy-time mirroring. Currently in development.

Every new platform can become another calendar to maintain.

Therapists often manage availability across an EHR, insurance platforms, referral platforms, and a personal calendar. When those systems do not see one another, every schedule change becomes manual and every calendar becomes another place to miss.

Built to share availability, not appointment content.

The planned Google-first version will read busy time from selected calendars and mirror that availability to a calendar chosen by the therapist. Connected scheduling systems can then see that the time is unavailable without receiving a client name, session title, note, or appointment description.

  • One-way busy-time mirroring.
  • No appointment titles or descriptions copied.
  • Multiple source calendars rather than a fixed four-calendar workflow.
  • Google Calendar first.
  • Built for therapists who use several scheduling platforms.
  • Intended to run after setup without repeated manual copying.

A narrow job with a clear privacy boundary.

Calendar Sync is not being designed as an EHR, client record, messaging system, or clinical documentation tool. The planned product boundary is calendar availability only. Security and privacy claims will be finalized only after the working product has completed technical and legal review.

Calendar Sync for therapists: planned workflow

  1. Connect a Google account.
  2. Choose the calendars that should contribute busy time.
  3. Choose the calendar that should receive mirrored busy events.
  4. Let connected scheduling systems read that destination calendar’s availability.

Frequently asked questions

Does Calendar Sync copy client information?

The planned version is designed to copy busy status only, not client names, appointment titles, notes, descriptions, or other appointment content. This boundary must be confirmed through testing before launch.

Which calendars will it support?

The first version is being designed around Google Calendar. Other calendar systems are not promised at this stage.

Will it connect directly to Headway, Grow Therapy, SonderMind, or an EHR?

The initial approach is not a direct integration with every platform. It is intended for systems that can already read from or write availability to a therapist’s Google Calendar. Compatibility must be tested platform by platform.

How many calendars can I connect?

The goal is to support multiple Google calendars rather than a fixed four-calendar limit. Final practical and service limits will be confirmed during testing.

Does this make a practice HIPAA compliant?

No tool by itself makes a practice compliant. Calendar Sync is being designed to avoid copying appointment content, but each clinician remains responsible for evaluating their own systems, agreements, settings, and legal obligations.
