Headway for Therapists: My Experience and What to Know

Headway has offered the strongest session rates among the insurance platforms I have tried, along with useful billing support. It has also taken time to panel me and has generated very few direct referrals.

My short answer

Headway has been a good platform for my Florida private practice, especially for reimbursement and insurance administration. Its strongest role is helping me accept insurance and manage the administrative side after I connect with a client. I would not rely on it alone to build a caseload.

Strongest session rates among the insurance platforms I have tried

Very few direct client referrals in my own experience

$0 setup, subscription, or credentialing fee for providers

The main limitations have been credentialing speed and referrals. My paneling experience was slower than it was with Grow Therapy, and Headway has sent me very few clients directly. I view it primarily as an insurance and practice-management platform, not as a replacement for independent marketing.

Still, Headway is not the same as owning every part of your infrastructure. Participation is governed by its current provider agreement and payer requirements.

Verified August 4, 2026: Headway currently says provider credentialing is free and that joining has no setup or ongoing membership cost. Its payment documentation says providers are paid on the 15th and the last day of each month.

What I like about Headway

Strong reimbursement in my practice

Headway currently pays me more per session than the other insurance platforms I have tried. For me, that has been its clearest advantage. A meaningful rate difference adds up quickly across a steady weekly caseload.

Simpler insurance administration

Headway verifies benefits, submits claims, and pays clinicians on a predictable schedule. Connecting scheduling, documentation, billing, and payments reduces the number of separate systems I need to manage.

Helpful support

My experience with Headway support has been positive overall. Insurance questions can be time-sensitive, and having a platform team available is easier than trying to resolve every payer issue alone.

Useful included tools

Scheduling, messaging, telehealth, documentation templates, and assessments are available in the platform. A therapist may still prefer a separate EHR, but the included tools may be sufficient for many insurance-based sessions.

Important rate caveat: My result is not a universal rate comparison. Reimbursement varies by state, license, payer, CPT code, and contract timing. Ask to see the rates for the services you actually provide before deciding.

What I would want therapists to know before joining

Credentialing may still take time

Headway advertises credentialing with some plans in as few as 30 days, but that is not a guarantee. My experience took longer than Grow Therapy. Payer, state, license, network status, and application completeness can all affect timing.

Referrals have been limited for me

Headway has generated very few direct referrals for my practice. Results may differ by specialty, location, insurance, profile quality, availability, and local demand, but I would not join expecting the marketplace alone to fill a caseload.

Rates and payer access vary

A platform that pays well for one Florida LMHC may be less competitive for another license or state. Confirm your actual payer access and rates instead of relying on another therapist’s screenshot or average.

Convenience does not remove responsibility

Review documentation deadlines, treatment-plan expectations, cancellation policies, billing rules, audit procedures, and exit terms. Platform templates do not replace clinical judgment or knowledge of licensing and ethical requirements.

Who Headway may be a good fit for

Headway may fit well if you:

Want to accept insurance without managing claims independently
Already receive referrals from other sources
Value predictable payments and connected billing tools
Want access to competitive rates where available
Prefer not to pay a monthly membership fee

It may be less ideal if you:

Need a platform to generate most of your clients
Need guaranteed credentialing by a particular date
Want direct control over every payer contract and claim
Do not want to follow platform-specific documentation workflows
Need a payer or plan that is unavailable to your license or state

My verdict

I think Headway is worth considering for therapists who want to build an insurance-based private practice. It has been reliable, supportive, and financially worthwhile for me, and it pays me more per session than the other platforms I have tried.

I would not rely on Headway alone for referrals, and I would apply before I urgently need a paneling date. Its strongest role in my practice is helping me accept insurance and manage the administrative side of care after I have connected with a client.
